How to Connect Gravity Forms to Notion: Automated Database & Lead Sync Guide

Notion has rapidly become the central operating system for modern startups, agencies, and digital product teams. From managing customer leads and client project requests to tracking bug tickets and applicant submissions, organizing data in Notion databases gives your team unmatched flexibility. However, manually copying form data from WordPress into Notion wastes valuable hours each week.

In this tutorial, you will learn how to connect Gravity Forms directly to Notion databases using our native integration plugin—without monthly Zapier subscription bills or fragile webhook middle layers.

Why Native Notion Integration Outperforms Third-Party Webhooks

Feature GravityExtra Native Add-on Zapier / Make
Pricing Structure Flat annual license (Unlimited entries) Per-task monthly subscription
Property Schema Discovery Auto-detects Select, Dates, Relations Manual JSON schema formatting
Data Sync Latency Instant direct server-to-server sync 5 to 15 min polling delays
Data Security & Privacy Encrypted directly to official Notion API Data parsed on third-party servers

Step 1: Create an Internal Integration in Notion

  1. Go to notion.so/my-integrations in your browser.
  2. Click + New integration. Give it an identifiable name such as Gravity Forms Sync and associate it with your primary Notion workspace.
  3. Click Submit and copy your Internal Integration Secret Token.
  4. Open the specific Notion Database page you want to populate, click the ••• menu in the upper right corner, scroll down to Connections, and select your integration to grant read/write access.

Step 2: Connect the Plugin in WordPress

Navigate to Forms → Settings → Notion in your WordPress dashboard. Paste your Secret Token and save settings. The add-on connects instantly to the official Notion API and validates permissions.

Step 3: Create a Database Feed & Map Properties

Open your target Gravity Form and go to Settings → Notion to add a new feed:

  • Select Database: Choose your target Notion Database from the dropdown list.
  • Map Title Column: Map your primary form field (e.g. Lead Name or Task Subject).
  • Map Rich Properties: Map fields to Text, Number, Select tags, Multi-Select options, Dates, and Checkboxes.
  • Enable Conditional Logic: Route submissions into different databases based on form inputs (e.g. Sales inquiries vs Support tickets).
Developer Snippet: Dynamically Assign Notion Tags
// Assign priority status based on form budget selection
add_filter('ge_notion_page_properties', function($properties, $feed, $entry, $form) {
    if ((int) rgar($entry, '7') > 5000) {
        $properties['Priority'] = ['select' => ['name' => 'High Value']];
    }
    return $properties;
}, 10, 4);
