Gravity Forms JIRA Integration Premium Add-on

Last updated: September 29, 2026 β€’ Author: admin
Table of Contents

The Gravity Forms Jira Integration Premium Add-on establishes a direct, real-time bridge between your WordPress forms and your Atlassian Jira Cloud or Data Center workspace. When a user, customer, or QA tester submits a form, this add-on automatically creates an issue, bug, task, or story in your Jira project backlog without third-party middleman tools or per-task fees.

Key Features & Capabilities

  • Direct Atlassian REST API v3: Instant issue creation with zero polling delays or monthly task caps.
  • Multiple Feed Automation: Route different forms or submission types to different Jira projects and issue types.
  • Dynamic Project & Issue Type Sync: Automatically pulls your active Jira projects, issue types, priorities, and components.
  • Comprehensive Field Mapping: Map standard and custom Jira fields, components, assignees, and issue priorities.
  • Multi-File Attachment Synchronization: Transmit uploaded screenshots, error logs, and documents directly to the Jira issue.
  • Conditional Logic Filtering: Trigger ticket dispatch only when specific conditions or urgency levels are met.
  • Execution Entry Notes: Automatically logs Jira Issue Keys and direct ticket URLs inside Gravity Forms entry notes.

System Requirements & Prerequisites

Before installing the add-on, ensure your environment meets the following requirements:

  • WordPress: Version 6.0 or higher.
  • Gravity Forms: Version 2.6 or higher (tested up to 3.x).
  • PHP: Version 7.4 to 8.3 with cURL and OpenSSL extensions enabled.
  • Atlassian Jira: Active Jira Cloud or Jira Data Center instance with administrator or project creation permissions.
  • Atlassian API Token: A generated API Token from your Atlassian account security settings.

Installation & API Authentication

Step 1: Install and Activate the Add-on

  1. Download the plugin ZIP file from your GravityExtra Account.
  2. In your WordPress dashboard, navigate to Plugins β†’ Add New β†’ Upload Plugin.
  3. Choose the ZIP file and click Install Now, then click Activate Plugin.

Step 2: Generate an Atlassian API Token

  1. Log in to your Atlassian Account at id.atlassian.com/manage-profile/security/api-tokens.
  2. Click Create API token, give it an identifiable label (e.g. Gravity Forms Integration), and click Create.
  3. Copy the token string immediately and store it securely (Atlassian will not display it again).

Step 3: Configure Global Jira Settings in WordPress

In your WordPress admin dashboard, navigate to Forms β†’ Settings β†’ Jira. Enter your credentials:

  • Jira Domain: Your Atlassian Cloud domain (e.g., yourcompany.atlassian.net) without https:// or trailing slashes.
  • Jira Email: The email address associated with your Atlassian account.
  • Jira API Token: The API token generated in Step 2.

Configuring a Jira Feed & Field Mapping

Step 1: Create a New Jira Feed

  1. Go to Forms and hover over the form you wish to connect, then click Settings β†’ Jira Feeds.
  2. Click Add New to create a new feed configuration.
  3. Enter a descriptive Feed Name (e.g., Client Bug Reports to Sprint Backlog).

Step 2: Select Project, Issue Type & Priority

The add-on dynamically queries your Jira workspace via REST API to populate the selection menus:

  • Jira Project: Select the destination Jira project where issues will be logged.
  • Issue Type: Choose between Bug, Task, Story, Epic, or Custom Issue Types configured in your Jira project scheme.
  • Default Priority: Set the baseline urgency level (Highest, High, Medium, Low, Lowest) or map it dynamically from a form field.

Step 3: Map Form Fields to Jira Fields

In the Field Mapping section, align your Gravity Forms fields with target Jira fields:

  • Summary (Required): Map to a single-line text field summarizing the problem (e.g., “Checkout Button Error on iOS Safari”).
  • Description: Map to a paragraph text field detailing steps to reproduce, user environment, and diagnostic notes.
  • Components: Select or map to specific project components (e.g., Frontend, Backend API, Mobile App).
  • Assignee: Assign issues automatically to a team lead or sprint coordinator.
  • Custom Fields: Map text, dropdown, and numerical form inputs to custom fields configured in your Jira project.

Advanced Features & Workflows

1. Multi-File Attachment Transmission

When users upload error screenshots, console logs, or PDF invoices via Gravity Forms File Upload fields, the add-on uploads them directly to the created Jira issue via /rest/api/3/issue/{key}/attachments. Files appear cleanly in the Jira attachments panel for developer inspection.

2. Conditional Logic Routing

Enable conditional logic on the feed to selectively trigger Jira issue creation. For instance, route submissions to Jira only when “Inquiry Type is Bug Report” or “Urgency is Critical”. General feedback can be routed elsewhere or skipped, keeping your development backlog clean.

3. Entry Notes & Verification Audit Trail

After each submission, the add-on records the created Jira Issue Key (e.g. PROJ-1024) and direct link in the Gravity Forms Entry Notes. You can verify issue creation instantly from the WordPress admin.

Troubleshooting & FAQs

HTTP 401 Unauthorized Error

Cause: The Atlassian API Token is invalid, expired, or entered with leading/trailing whitespace.

Resolution: Generate a fresh API token at Atlassian Account Security and re-enter your email and token in Forms β†’ Settings β†’ Jira. Ensure your domain is entered as yourdomain.atlassian.net without https://.

HTTP 400 Bad Request: Missing Required Fields

Cause: Your Jira project scheme requires specific mandatory fields (e.g. Components, Environment, or Custom Fields) that are not mapped in your feed.

Resolution: In Jira, check the required fields for your chosen Issue Type. In your Gravity Forms Jira Feed settings, map all required fields to form inputs or provide static default values.

Attachments Not Uploading

Cause: Attachment permissions in Jira are restricted, or file size exceeds your Jira upload limit.

Resolution: Verify in Jira under Settings β†’ System β†’ Attachments that attachments are enabled for the project and the API user has the “Create Attachments” project permission.
