The Gravity Forms OnePageCRM Integration Premium Addon seamlessly connects your WordPress Gravity Forms forms directly with your OnePageCRM account. When a visitor submits a contact form, quote request, or lead inquiry on your WordPress website, contact details, custom fields, tags, and next action tasks are pushed directly to OnePageCRM in real timeβ€”eliminating tedious manual data entry, preventing lost leads, and keeping your sales pipeline active without relying on costly third-party webhook middleware.

System Requirements & Prerequisites

  • WordPress: Version 5.8 or higher
  • Gravity Forms: Version 2.5 or higher (Pro, Elite, or Basic license)
  • PHP: Version 7.4, 8.0, 8.1, 8.2, or 8.3
  • OnePageCRM Account: Active account with API access enabled
  • Addon Plugin: Gravity Forms OnePageCRM Integration Premium Addon installed and activated

Connecting Your OnePageCRM Account (API Authentication)

Before setting up form feeds, authenticate your WordPress site with OnePageCRM using your dedicated User ID and API Key. The connection is direct via encrypted REST API calls, ensuring high security and zero third-party latency.

  1. Log into your OnePageCRM dashboard.
  2. Navigate to Apps & Integrations → API or visit direct URL: https://app.onepagecrm.com/app/api.
  3. Copy your unique User ID and generate or copy your secret API Key.
  4. In your WordPress admin dashboard, navigate to Forms → Settings → OnePageCRM.
  5. Paste your credentials into the corresponding fields and click Save Settings. A green verification badge will confirm the connection.

Creating & Configuring a OnePageCRM Form Feed

After establishing the global API connection, create individual feeds to map form submissions to OnePageCRM contacts, opportunities, and action stream tasks.

  1. Open your target form in Forms → Forms and click Edit.
  2. Hover over Settings in the top navigation bar and select OnePageCRM.
  3. Click Add New to create a new integration feed.

Contact Status, Ownership & Starred Priority

Configure how each inbound lead is categorized and assigned inside your CRM workspace:

  • Active Toggle: Enable or disable the feed without deleting configurations.
  • Contact Status: Assign a default pipeline status (Lead, Prospect, Trial, Customer, Inactive, General, Partner).
  • Owner ID: Designate a specific sales rep or account executive responsible for newly created leads.
  • Starred Lead: Automatically flag high-value or VIP inquiries with a star so they appear at the top of your Action Stream.

Standard & Custom Field Mapping

Accurately map your Gravity Forms submission fields to OnePageCRM contact records. OnePageCRM requires an Email and either a Last Name or Company Name to establish a valid contact record.

Dynamic Tagging & Segmentation

Assign one or multiple tags to contacts created through this feed (e.g. Website Lead, Pricing Inquiry, Webinar Attendee). Tags help your sales team filter and run targeted outreach campaigns in OnePageCRM.

Custom Field Mapping

If you have defined custom fields inside OnePageCRM (such as Budget, Industry, Project Deadline, or Preferred Service), the addon dynamically retrieves your CRM custom field schema. Simply click Add Custom Field, select your target OnePageCRM custom field from the dropdown, and map it to any Gravity Forms field or static value.

Next Action Automation & Action Stream Scheduling

OnePageCRM’s core methodology revolves around the Next Action philosophyβ€”ensuring no lead is left unattended. This addon allows you to schedule an automated Next Action task upon form submission so sales reps are prompted immediately.

  • Next Action Text: Specify the task text (e.g. Call back new inquiry, Review project specifications, or Send pricing proposal).
  • Due Date Offset: Automatically schedule the action due date (e.g., Today, Tomorrow, or in X days).
  • Assignee: Direct the task to the contact owner or a specialized triage agent.

End-to-End Submission & Verification Workflow

To verify your configuration, submit a test entry through your front-end Gravity Form and inspect the synced record inside OnePageCRM.

Within seconds, the contact appears in your OnePageCRM Contacts database with all mapped attributes, company associations, and designated tags:

Opening the contact details page displays all mapped personal information, custom field values, and attached tags cleanly populated:

In your OnePageCRM Action Stream, the automated Next Action task is active with its designated due date, preventing any lead leakage:

Conditional Logic & Multi-Feed Routing

You can configure conditional logic rules on individual feeds. For example, route enterprise inquiries to a Senior Account Executive feed, while general inquiries route to a triage feed. Or only push entries to OnePageCRM if a specific GDPR consent checkbox or newsletter opt-in is checked.

Developer Hooks & Filter Reference

Developers can programmatically filter or mutate contact payloads before they are dispatched to OnePageCRM using standard WordPress filters.

functions.php
PHP

// Modify the OnePageCRM contact payload before dispatch
add_filter( 'gravityextra_onepagecrm_contact_args', function( $contact_args, $entry, $form, $feed ) {
    // Append a dynamic lead source tag based on current landing page
    if ( ! empty( $entry['source_url'] ) ) {
        $contact_args['tags'][] = 'Source: ' . parse_url( $entry['source_url'], PHP_URL_HOST );
    }
    return $contact_args;
}, 10, 4 );

Troubleshooting & Frequently Asked Questions

Why are contacts not being created in OnePageCRM?

Verify that your API Key and User ID are valid under Forms → Settings → OnePageCRM. Ensure your feed has mapped both Email and either Last Name or Company Name, as OnePageCRM rejects contact payloads lacking these mandatory identifiers.

Are existing contacts updated or duplicated?

OnePageCRM uses email addresses as the primary key. When an entry is submitted with an existing email, OnePageCRM updates the contact profile with new custom field data, appends newly assigned tags, and schedules the designated Next Action task without creating duplicate contacts.

Where can I view connection errors or transmission logs?

Enable Gravity Forms Logging via Forms → Settings → Logging. Select “Log all messages” for OnePageCRM to inspect detailed HTTP request payloads and API response codes.
