The Gravity Forms SuiteCRM Integration Premium Add-on connects Gravity Forms to SuiteCRM using the modern SuiteCRM REST API V8. Automatically convert form entries into standard or custom module records (Leads, Contacts, Accounts, Cases, Opportunities), map custom fields dynamically, and chain records together using the built-in Relationships Engine—with zero recurring monthly middleware fees.

System Requirements & Prerequisites

  • WordPress: Version 5.8 or higher
  • Gravity Forms: Version 2.5 or higher (Basic, Pro, or Elite)
  • PHP: Version 7.4, 8.0, 8.1, 8.2, or 8.3
  • SuiteCRM: SuiteCRM 7.10+ or SuiteCRM 8 with API V8 enabled
  • GravityExtra Add-on: Installed and activated with an active license key

Step 1: Generate OAuth2 Client Credentials in SuiteCRM

To establish a secure API connection between WordPress and SuiteCRM, create an OAuth2 Client in your SuiteCRM dashboard:

  1. Log into your SuiteCRM Admin Dashboard.
  2. Scroll down to the Admin panel and click OAuth2 Clients and Tokens.
SuiteCRM Admin Menu Navigation

Navigate to Admin → OAuth2 Clients and Tokens inside SuiteCRM.

  1. Click New Client Credentials Client.
  2. Configure the required fields:
    • Client Name: E.g. Gravity Forms Integration
    • Client ID: SuiteCRM auto-generates a client identifier (or specify your own).
    • Client Secret: Enter a strong, random password string.
    • User Name: Select an authorized SuiteCRM administrative user whose security permissions will be used for API transactions.
  3. Click Save.

Step 2: Connect SuiteCRM in WordPress Global Settings

Authenticate your WordPress installation with your SuiteCRM instance:

  1. In WordPress Admin, go to Forms → Settings → SuiteCRM.
  2. Enter your integration credentials:
    • SuiteCRM Base URL: Your full HTTPS URL without a trailing slash (e.g. https://crm.yourcompany.com).
    • Client ID: The Client ID configured in Step 1.
    • Client Secret: The Client Secret configured in Step 1.
    • Username & Password: The SuiteCRM username and password of the assigned API user.
  3. Click Save Settings. The plugin tests the handshake and verifies token generation automatically.

Step 3: Create a Feed & Select Target Module

Create feeds to sync submissions into any standard or custom SuiteCRM module:

  1. Navigate to Forms → Forms and click into your target form.
  2. Go to Settings → SuiteCRM and click Add New.
  3. Enter a descriptive Feed Name.
  4. Select your destination SuiteCRM Module from the dropdown (Contacts, Leads, Accounts, Cases, Opportunities, Tasks, or custom modules). The add-on queries your SuiteCRM metadata endpoint dynamically to load all available modules.

Step 4: Map Standard & Custom Module Fields

Map form inputs to SuiteCRM fields with automatic schema detection:

  1. Under Module Fields Mapping, pair your form fields with corresponding module attributes (e.g. First Name, Last Name, Email, Office Phone).
  2. Under Additional Custom Fields, map proprietary custom attributes ending in _c (such as budget_c, lead_source_c) by selecting the attribute key and form field.
  3. Optionally enable Conditional Logic to only trigger the feed for specific submissions.

Step 5: SuiteCRM V8 Relationships Engine (Version 1.1.0)

Link multiple records together using the built-in Relationships Engine:

Scenario A: Multi-Feed Relational Chaining

Create a parent record (e.g. Contact) and child record (e.g. Support Case or Opportunity) in sequence:

  1. Feed 1 (Contact): Set module to Contacts and map contact fields. When executed, Feed 1 creates the contact and retains its UUID in entry meta.
  2. Feed 2 (Case/Opportunity): Set module to Cases. Under SuiteCRM Relationship Settings, check Link this record to a related record in SuiteCRM, select Link with record created by previous feed in this form, and choose Contacts.
  3. Upon submission, the add-on calls POST /Api/V8/module/Contacts/{id}/relationships to link both records seamlessly!

Scenario B: Direct Related ID Mapping

If your form captures an existing Account ID or Contact ID (via URL parameter, user metadata, or hidden field), select Map Related Record ID from Form Field to bind the new record directly to that existing entity.

Step 6: Reviewing Submission Logs in Entry Notes

Every transaction is recorded directly in Gravity Forms Entry Notes:

  1. Navigate to Forms → Entries and click into any submitted record.
  2. Examine the Notes panel on the right sidebar.
  3. Confirm success messages containing the exact generated SuiteCRM UUIDs and relationship linking confirmations.

Developer Hooks & Filter Reference

Customize feed settings or record payloads dynamically prior to dispatching to SuiteCRM:

functions.php
PHP

// Intercept SuiteCRM payload before dispatching record creation
add_filter( 'gform_suitecrm_record_payload', function( $payload, $feed, $entry, $form ) {
    // Force lead source tracking tag
    $payload['lead_source'] = 'Web Site';
    return $payload;
}, 10, 4 );

Troubleshooting & Frequently Asked Questions

Why am I receiving an “Access token is missing” error?

Ensure that your SuiteCRM Base URL does not end with a trailing slash (e.g. use https://crm.domain.com, not https://crm.domain.com/), that your SSL certificate is trusted, and that your OAuth2 Client ID and Secret match exactly.

Why are my custom fields not appearing in the dropdown?

The add-on inspects SuiteCRM using the permissions of the user associated with the OAuth2 Client. Confirm that this user has administrative access or full module viewing permissions in SuiteCRM Role Management.

Do I need Zapier or Make to connect to SuiteCRM?

No! The add-on communicates directly from your WordPress server to SuiteCRM via the native SuiteCRM REST API V8. You do not need any third-party subscription or middleman services.
