The Gravity Forms DonorPerfect Integration Add-on connects your WordPress donation, membership, and volunteer forms directly to DonorPerfect fundraising CRM. By automating constituent lookup, donor profile creation, gift processing, and general ledger accounting attribution, this integration eliminates manual data entry and ensures accurate donor management.

System Requirements & Prerequisites

  • WordPress: Version 5.8 or higher
  • Gravity Forms: Version 2.5 or higher
  • PHP: Version 7.4, 8.0, 8.1, 8.2, or 8.3
  • DonorPerfect Account: Active DonorPerfect subscription with API access enabled
  • DonorPerfect Integration Add-on: Installed and activated with an active license

Step 1: Connecting DonorPerfect API Key

To connect your WordPress site to DonorPerfect, obtain your API Key from your DonorPerfect account.

  1. Log in to your DonorPerfect account.
  2. Navigate to your account settings or contact DonorPerfect support to verify API access is provisioned for your organization.
  3. Copy your organization API Key (User Key).
  4. In your WordPress Admin dashboard, navigate to Forms → Settings → DonorPerfect.
  5. Paste your API Key into the designated field.
  6. Click Save Settings to store your credentials.

Step 2: Creating a DonorPerfect Feed

After saving your API credentials, configure an integration feed on your donation form:

  1. Go to Forms and select your donation or fundraising form.
  2. Navigate to Settings → DonorPerfect.
  3. Click Add New to create a new feed.
  4. Enter a descriptive Feed Name (e.g., “Annual Gala Online Giving Feed”).

Step 3: Constituent Deduplication & Field Mapping

The add-on prevents duplicate constituent profiles by searching DonorPerfect records before creating new donors. Map your form fields to DonorPerfect constituent attributes:

DonorPerfect Field Gravity Forms Source Requirement & Matching Rule
First Name Name Field (First) Required. Populates donor personal record.
Last Name Name Field (Last) Required. Used with Email / Address for deduplication.
Email Address Email Field Primary deduplication key for matching existing donors.
Gift Amount Pricing / Donation Field Numerical donation or pledge value recorded into DonorPerfect.
Address, City, State, Zip Address Field Populates donor postal records for tax receipt generation.

Step 4: Campaign, Solicitation & General Ledger (GL) Codes

Accurate fund accounting requires categorizing every gift according to organizational accounting standards:

  • Campaign Code: Associate contributions with fundraising initiatives (e.g., CAPITAL2026, GIVINGTUESDAY).
  • Solicitation Code: Track the marketing channel (e.g., WEB_DIRECT, NEWSLETTER).
  • General Ledger (GL) Code: Ensure contributions automatically route to the proper accounting fund (e.g., SCHOLARSHIP_FUND, GENERAL_OPERATING).
  • Tribute Gifts: Map in-honor or in-memory honoree names and notification addresses.

Step 5: Conditional Logic for Major Gifts & Pledges

Enable conditional logic within feed settings to tailor processing based on donor input:

  • Trigger different GL allocations depending on selected campaign designations.
  • Create pledge records when recurring commitment checkboxes are selected.
  • Route major donors (e.g., donations > $1,000) to executive stewardship notification feeds.

Developer Hooks & Filter Reference

Developers can programmatically modify constituent profiles or gift transaction payloads prior to sending to DonorPerfect.

functions.php
PHP

// Programmatically customize gift payload before sending to DonorPerfect
add_filter( 'gform_donorperfect_gift_record', function( $gift_record, $entry, $form, $feed ) {
    // Add custom receipt note or tracking reference
    $gift_record['gift_narrative'] = "Online gift via Gravity Forms #" . $entry['id'];

    return $gift_record;
}, 10, 4 );

Verification & Entry Notes Audit

Upon form submission, the add-on logs the transaction outcome in the Gravity Forms Entry Notes, including:

  • The generated or matched Donor ID.
  • The recorded Gift ID and donation timestamp.
  • Clear diagnostic messages if any field format fails validation.

Frequently Asked Questions

How does constituent deduplication work?
The add-on queries DonorPerfect by donor email address and name. If an existing profile is found, the new gift is appended to their lifetime record instead of creating a duplicate constituent.
Are recurring pledges supported?
Yes. You can configure pledge feeds to record monthly or annual giving commitments into DonorPerfect pledge schedules.
Can I record tribute gifts in memory of someone?
Yes. You can map tribute type (In Honor Of / In Memory Of), honoree name, and notification recipient details directly into DonorPerfect tribute fields.
Does it work with payment add-ons like Stripe and PayPal?
Yes. Feeds can be configured to process only after payment has been successfully authorized and completed by Gravity Forms payment add-ons.
