1. Overview & Key Capabilities

The Gravity Forms + Salesforce Integration Premium Add-on connects your WordPress site directly to Salesforce via secure REST API authentication. You can automate lead generation, contact management, account updates, and case creation without writing custom integration code or relying on external webhook relay services.

  • Real-Time Synchronization: Ingest form entries immediately upon user submission.
  • Standard & Custom Objects: Direct mapping into Leads, Contacts, Accounts, Opportunities, Cases, and custom CRM objects.
  • Deduplication Engine: Avoid cluttering Salesforce by matching existing records by email, phone, or custom identifier.
  • Conditional Routing: Process feeds only when submissions satisfy granular conditional rules.
  • File Attachments: Forward uploaded documents directly into Salesforce Files and Notes.

2. Prerequisites & Environment Requirements

Before configuring the Salesforce Add-on, ensure your hosting environment and account satisfy the following specifications:

  • WordPress 5.8 or higher with active SSL (HTTPS enabled).
  • Gravity Forms 2.5 or higher installed and active.
  • PHP 7.4 or higher with cURL and OpenSSL extensions enabled.
  • A valid Salesforce account (Enterprise, Unlimited, Developer Edition, or Professional Edition with API Access add-on).

3. Creating a Salesforce Connected App (OAuth 2.0)

To establish a secure, continuous link between WordPress and Salesforce, you must register a Connected App in your Salesforce organization:

  1. Log into your Salesforce account at login.salesforce.com as an Administrator.
  2. Navigate to Setup → Platform Tools → Apps → App Manager.
  3. Click New Connected App in the top-right corner.
  4. Fill in the Basic Information:
    • Connected App Name: Gravity Forms Connector
    • API Name: Gravity_Forms_Connector
    • Contact Email: Your administrative email address
  5. Enable OAuth Settings:
    • Check the box for Enable OAuth Settings.
    • Set Callback URL to your WordPress administrative redirect URL: https://gravityextra.com/wp-admin/admin.php?page=gf_settings&subview=salesforce
    • Under Selected OAuth Scopes, add:
      • Access and manage your data (api)
      • Perform requests on your behalf at any time (refresh_token, offline_access)
  6. Click Save and wait 2 to 5 minutes for Salesforce to activate the app policies globally.
  7. Under Consumer Key and Secret, click Manage Consumer Details to reveal your Consumer Key (Client ID) and Consumer Secret (Client Secret).

4. Configuring Global Salesforce Settings in WordPress

With your Connected App credentials in hand, activate the integration in your WordPress dashboard:

  1. In WordPress Admin, navigate to Forms → Settings → Salesforce.
  2. Select your Salesforce environment: Production / Developer or Sandbox.
  3. Paste your Consumer Key and Consumer Secret into the respective fields.
  4. Click Authenticate with Salesforce. You will be redirected to Salesforce to grant authorization. Click Allow.
  5. Once redirected back, verify that the green status badge displays Connected & Authenticated.

5. Creating Feeds & Mapping Fields

Each Gravity Form can have one or more Salesforce feeds configured to send data to specific objects:

  1. Navigate to Forms and select the form you wish to connect.
  2. Go to Settings → Salesforce and click Add New.
  3. Enter a descriptive Feed Name (e.g., B2B Inbound Lead Feed).
  4. Select the target Salesforce Object (e.g., Lead).
  5. Under Field Mapping, match your Gravity Forms input fields with Salesforce properties:
    • First Name → First Name
    • Last Name → Last Name
    • Work Email → Email
    • Company → Company
    • Phone → Phone
  6. To pass non-standard parameters or campaign tracking codes, click Add Custom Field.
  7. Enable Conditional Logic if you only want submissions meeting certain criteria (such as budget > $1,000) to trigger this feed.
  8. Click Save Settings to activate the feed.

6. Troubleshooting & Common Salesforce API Errors

invalid_grant OAuth refresh token has been revoked or expired. Re-authenticate via Forms → Settings → Salesforce by clicking Re-connect.
REQUIRED_FIELD_MISSING A mandatory Salesforce field (e.g., Company on Leads) was not mapped or left blank in the form. Set the Gravity Forms field to required or provide a default fallback value in Feed Settings.
REQUEST_LIMIT_EXCEEDED Daily Salesforce 24-hour API call quota reached. Check Salesforce Setup → Company Settings → Company Information to monitor daily API consumption.
No Conflict Mode Warning Gravity Forms No Conflict Mode prevents external scripts in settings. Navigate to Forms → Settings and temporarily disable No Conflict Mode while authenticating.
