Your data

Applications and entries stay on your own website

The add-ons run inside your own WordPress site. Form entries and uploaded files are stored on your own site, or in a storage bucket you choose, and are sent only to the services you connect yourself. Which employment, privacy and data-protection rules apply to you, and whether a setup meets them, is your responsibility.

  • No entries pass through GravityExtra. Licence and update checks send only your licence key, your site address and your WordPress and PHP versions.
  • Direct connections. Workable, BambooHR, Recruit CRM, DocuSign or Dropbox Sign are called from your site with your own account and credentials. Each of them receives the data you send it, such as an applicant's contact details and resume.
  • Your storage bucket. Large File Uploads send files from the visitor's browser to the Amazon S3, Cloudflare R2, Wasabi, Backblaze B2, DigitalOcean Spaces or other S3-compatible bucket you set up, using keys stored encrypted on your site. You also add the bucket's CORS rule.
  • Signed, expiring links. Secure Edit Link uses signed links with an expiry, an optional single-use setting and a limit on repeated requests. The status look-up asks for the reference and the email address, and pauses after repeated wrong answers.
  • A record of consent choices. Consent Records stores what each person ticked and when. It is a record-keeping tool: it does not decide what you need to ask for or how long you may keep it.
  • Your responsibility. GravityExtra does not certify your hiring process, website, hosting or connected services against any employment, privacy or data-protection rule, and does not promise any hiring result. You stay responsible for your own compliance and policies, so check what applies to you with your own adviser.

Questions

Which applicant tracking systems are supported?
Workable (candidate on a job), BambooHR (job application in BambooHR Hiring, or an employee record) and Recruit CRM (candidate with resume). Other systems, such as Greenhouse, Lever, JazzHR, Recruitee or Workday, are not part of the Recruiting & HR Suite.
What do I need from the other services?
Workable: an access token and your account subdomain. BambooHR: an API key and your subdomain. Recruit CRM: an API token, and API access depends on your Recruit CRM plan. DocuSign: an integration key, a user ID and an RSA private key from your own account; Dropbox Sign: an API key. Large File Uploads: your own storage bucket with access keys and a CORS rule. Each of these services is billed by its own provider.
Recruiting & HR Suite or All-Access: which should I choose?
The Recruiting & HR Suite includes the 12 add-ons on this page and costs less: 1 site, 5 sites or 10 sites. The All-Access pass includes the same 12 plus every other GravityExtra Gravity Forms add-on, new add-ons as they launch, the GravityExtra Hub and the All-Access Library, on 10 sites or unlimited sites. One site is one WordPress website (domain).
How do I install the Recruiting & HR Suite add-ons?
After your purchase, the 12 add-ons are in My Account under Downloads, and your licence key is under License Keys. Upload the add-ons you need to WordPress and enter the same key in each add-on that asks for one. While your plan is active, new versions are in My Account under Downloads, and add-ons with the GravityExtra updater also update from your WordPress dashboard.
Can I use it on my clients' websites?
Each site where you activate the key counts as one site, so the 1, 5 and 10 site plans limit how many websites can use the add-ons. Choose the plan by the number of sites, and use All-Access Agency Unlimited if you need no limit.
Does the Recruiting & HR Suite make my hiring process legally compliant?
No. The add-ons are tools for your Gravity Forms forms. They collect, store and send the data you configure to the services you connect, but GravityExtra does not promise any hiring result and does not certify your hiring process, consent setup, record keeping, hosting or connected services against any employment, privacy or data-protection rule. You are responsible for your own compliance and policies. Ask your own adviser what applies to you.
How do renewals work?
Plans are billed once a year and renew automatically, so updates and support continue without a gap. You can cancel any time from your My Account page. Without a renewal, updates and support stop at the end of your paid year.
I already own one of these add-ons. What happens to it?
Nothing changes: your existing licence keeps working. Contact us if you have questions about moving to the Recruiting & HR Suite or an All-Access pass.
What is your refund policy?
If an add-on has an error caused by the add-on itself within 30 days of purchase, we refund you in full. Refunds do not cover problems caused by third-party plugins, themes or custom code. Full details are in our Terms & Conditions.
Do I need Gravity Forms?
Yes. The add-ons add features to Gravity Forms, which is licensed separately. Several add-ons need Gravity Forms 2.9 or later and PHP 7.4 or later.
