The Gravity Forms AI Voice Agent add-on turns a form submission into a live phone conversation. The moment a lead submits your form, the add-on starts an outbound call through your own Vapi account and your Vapi assistant speaks with the person — it introduces itself, asks and answers questions, qualifies the lead and follows the script you built in Vapi. This is speed-to-lead done properly: your new enquiry gets a call while they are still at their desk, handled by an AI voice agent that actually converses.

It is important to be clear about what this is and what it is not. This is a two-way, back-and-forth conversation, not a one-way voice notification. It does not simply dial the number and read a recorded clip or a text-to-speech message down the line — that is a voice-call announcement, and it is a different thing. Here, the assistant listens and responds in real time, so the lead has a conversation, not a message left in their ear. Everything the visitor typed into the form is passed to the assistant as dynamic call variables, so the agent already knows their name, what they asked about and any other field you map — every call is personalised, and your script can use those variables directly.

The add-on is built for responsible outbound calling. A call is only ever started when the consent field you choose is ticked or answered yes, so you always have the lead's agreement on record. Calls are placed only inside the calling hours you set, worked out in the lead's own time zone; a submission outside those hours is either queued until the window opens or skipped, your choice, and the same number is never called twice inside a cooldown you control. The Vapi call id and status are written to the entry straight away, and an optional signed end-of-call webhook writes the final status, reason and a short summary back to the entry when the conversation ends — so your team can read what happened without leaving Gravity Forms. You bring your own Vapi account and your own API key (stored encrypted with your site's own salts and never shown again); calls are made and billed by Vapi on your account, and the add-on contacts only Vapi and gravityextra.com.

When a licensed form is submitted, each active AI Voice Agent feed whose conditional logic matches runs in order. The feed first checks the consent field you chose — no consent, no call. It then reads the phone field and normalises it to an international number, and works out the lead's time zone (from a time-zone field you map, or from the country of the number). If the moment is inside your calling hours it starts the call now; if it is outside, the feed either schedules the call for when the window next opens (up to a limit you set) or skips it, as you configured. Before calling, it checks a per-number cooldown so a lead is never called twice in a short window.

To start the call, the add-on sends one request to Vapi's Create Call API with your own API key: your assistant id, your phone number id, the lead's number, and the form fields you mapped as the assistant's dynamic variableValues. Your Vapi assistant then calls the lead and holds the conversation — the add-on itself places no audio and reads no message; it simply hands Vapi the context and lets your agent talk. The Vapi call id and status are saved to the entry and an entry note records that the call started and that consent was given. If you turn on write-back, the add-on gives Vapi a signed, per-call webhook address; when the call ends, Vapi posts the end-of-call report to that address, the signature is verified, and the final status, reason and a short summary are written to the entry once. The add-on never changes any setting in your Vapi account and contacts no host other than Vapi and gravityextra.com.
