Clean up the duplicate entries that pile up in any busy Gravity Forms form. The Gravity Forms Duplicate Entry Finder & Merge add-on scans a form you choose, groups the entries that look like the same person or submission, and lets you merge each group into one keeper entry — all from inside the Gravity Forms admin, with no third-party service and no data leaving your site.

You decide what counts as a duplicate. Pick the fields to compare — the e-mail and the name, say — and the match mode. Exact compares the stored values as they are. Normalised folds the differences that trip up a plain comparison: it lower-cases e-mail and applies gmail dot and +suffix folding, reduces phone numbers to their digits, and folds name case, spacing and accents. Fuzzy catches near matches — a one-character typo in a name — using a similarity score you can turn up or down with a threshold. Two entries join a duplicate group only when every field you picked matches under the mode, so a shared e-mail alone will not sweep unrelated people together.

Big forms are handled without timeouts: the batch scan reads the entry table in chunks and resumes where it left off, driven by AJAX or WP-Cron, so a table with tens of thousands of entries scans safely in the background. When the scan finishes you review each group side by side, pick the keeper and, field by field, which value wins, and the losing entries' notes and uploaded files are carried over to the keeper. The entries you did not keep are moved to the Gravity Forms trash — they stay fully recoverable and are never hard-deleted — and every merge is written to an undo log that can reverse it, restoring the trashed entries and rolling back the keeper. Scanning and merging are licensed features; the add-on makes no outside HTTP calls at all.

When you start a scan the add-on reads the form's active entries in chunks, prepares each record's compare values with the rules for the mode you chose, and groups the duplicates — by matching signatures for the exact and normalised modes, and by a pairwise similarity test for the fuzzy mode. A batch scan saves its progress after each chunk and resumes from there on the next AJAX step or WP-Cron tick, so a large entry table never times out. The review then shows each group side by side; you choose the keeper and, for each field, which entry's value wins. On merge, the keeper takes the winning values, the losing entries' notes and any uploaded files they hold are carried over, and the losers are set to the Gravity Forms trash status — recoverable, never a hard delete. An undo record is written with the keeper's prior values and each loser's prior status, so the same merge can be reversed later: the trashed entries come back and the keeper is rolled back. The add-on contacts no external service and makes no outside HTTP request; all matching is computed on your server.
