Claiming Gift Aid adds 25p to every pound a UK taxpayer gives your charity — but only if you hold a valid declaration and can list each donation the way HMRC wants it. The Gravity Forms Gift Aid Declarations add-on puts the declaration on your donation form and turns your entries into a claim schedule, with no spreadsheet clean-up.

Add the Gift Aid field to any donation form. It shows the HMRC model declaration, which you can edit and put back with one click. When the donor ticks the box, their title, first name, surname, house name or number and postcode become required, taken from your existing Name and Address fields; donors who live outside the UK get postcode X. Choose whether the declaration covers this donation only, future donations, or the past 4 years and future donations — or let the donor choose — and show the donation boosted by 25% as they type.

Each declaration is stored with its date, wording version, scope, entry and a hashed IP address, and can be cancelled by you or by the donor through a signed link. Donors get their copy through the {gift_aid_declaration} merge tag or a notification option. Under Forms → Gift Aid, pick the forms and dates and download the claim schedule CSV in the column layout of the HMRC Gift Aid schedule spreadsheet: refunded, failed and unpaid donations are left out, small donations can be aggregated, and donations that look ineligible are flagged. When a donor submits the form with the Gift Aid box ticked, the add-on checks that the title, first name, surname, house name or number and postcode are filled in (from the Name and Address fields you chose) and that a UK postcode looks right; donors outside the UK get postcode X. It then saves a declaration record in its own database table: the donor details as declared, the scope, the wording shown with its version label, the entry, the date and a keyed hash of the IP address. Later donations from the same donor are matched to an enduring declaration by e-mail (or name and postcode). On the claim screen the add-on reads the entries of the chosen forms and dates through the Gravity Forms API, keeps only donations covered by a declaration with a paid payment status, and writes the rows in the HMRC schedule column order with dates as DD/MM/YY and amounts with two decimals. Everything happens on your own server — the add-on makes no outside HTTP request beyond the licence and update checks. It is a record-keeping tool, not tax advice.
