Gravity Forms
+ Virtual Queue & Now Serving

Run a walk-in queue with Gravity Forms. People scan a QR code at the door and take a number on their phone, then follow a live status page with the number of people ahead, an estimated wait and a Leave the queue button. They get an e-mail when their turn is near and when they are called. Staff call the next person to their counter, recall, mark no-shows, serve and transfer to another service from a simple staff screen, and a large now-serving display for a TV shows the number at each counter with an optional chime. Services with counters, opening hours, a daily ticket limit, ticket prefixes and a daily reset. Ticket numbers are issued by the database, so they stay unique even when many people take a number at the same moment. Statistics with CSV, an activity log and data retention. All processing is local, with no outside connection.

Gravity Forms Virtual Queue & Now Serving Setup Guide: Take a Number, Staff Screen & TV Display

Video setup guide: Gravity Forms Virtual Queue

Core Features

Take a number with any Gravity Forms form: one service per form, or let people choose the service in a drop down
QR code at the door opens a phone-friendly take-a-number page; print a door poster (PDF); QR codes are made on your server
Ticket numbers issued by the database: unique and without gaps even when many people submit at the same moment
Live status page per ticket: now serving, people ahead, estimated wait from the rolling pace of recent calls, and Leave the queue
E-mail when the turn is near (you choose how many people ahead) and when the person is called, each sent once, as Gravity Forms notifications
Staff screen per counter: call next, recall, served, no-show and transfer to another service, with the waiting list and today's activity
Now-serving display for a TV: the number at each counter, the last called numbers, the number waiting and an optional chime
Services with ticket prefixes, counters, weekly opening hours, a daily ticket limit and numbering that restarts every day
Tickets are refused politely outside opening hours or when the day's limit is reached
Role-restricted staff screen: administrators, entry editors and the roles you tick
Statistics (tickets, served, no-shows, average and longest wait, time at the counter), CSV export and an activity log
Signed links, no personal data in links or on the public display, data retention clean-up, privacy export and erase. Local only, no outside connection. For Gravity Forms 2.9 and newer

What does it do?

A service desk, a clinic reception or a town hall counter often has one problem at busy times: a crowded waiting area where nobody knows how long they will wait, and staff who shout the next name across the room. The Gravity Forms Virtual Queue & Now Serving add-on turns any Gravity Forms form into a take-a-number system on your own site. People scan a QR code at the door with their phone camera, fill in a short form and get a ticket number such as C-014.

Their phone then shows a live status page: the ticket, how many people are ahead, an estimated wait based on the real pace of the last calls, and the numbers being served right now. They can wait in a café nearby, get an e-mail when their turn is near and another when they are called, or leave the queue with one tap. Staff use a simple call-next screen per counter to call, recall, mark no-shows, serve and transfer someone to another service, and a large now-serving display on a TV in the waiting area shows the number at each counter, the last called numbers and an optional chime.

Each service has its own counters, opening hours, ticket prefix, daily ticket limit and a fresh numbering every day. Ticket numbers are issued by the database itself, so two people who take a number at exactly the same moment never get the same number and no number is skipped. Statistics, a CSV export and an activity log show waits, people served and no-shows. Everything runs on your own server with no outside service. For Gravity Forms 2.9 and newer.

How does it work?

When someone submits a form with queue tickets switched on, the add-on checks that the chosen service is open and then asks the database for the next number of the day for that service. A unique key on the service, the day and the number means two submissions can never store the same number; if two arrive at the same moment, one simply takes the next number, so the day's numbers stay 1, 2, 3 without gaps, and the daily limit is checked against the number itself. The ticket is linked to the Gravity Forms entry, and the confirmation shows the ticket with a signed link to its status page. The status page and the TV display ask your server for news every few seconds with one small request, so there is no outside push service. When staff call the next person, the ticket is claimed in one database step, so two counters can never call the same person; the add-on then sends the form's "called" notifications and the "turn is near" notifications to people who have moved within reach, once per ticket. An hourly job closes yesterday's open tickets and runs the data retention clean-up. The add-on makes no outside HTTP request beyond the licence and update checks.

How do I enable this?

1
Install and activate the add-on, then activate your license key in Forms → Settings → Virtual Queue.
2
Add your services in Forms → Virtual Queue → Services: name, ticket prefix, counters, opening hours and the daily limit.
3
Open your take-a-number form, go to Form Settings → Virtual Queue, switch on queue tickets and map the service, name and e-mail fields. Add notifications for the queue events.
4
Print the door poster, open the now-serving display on your TV and let staff call the next person from the staff screen.
