Gravity Forms Clio Integration Setup & Usage Guide

The Gravity Forms Clio Integration Add-on connects your WordPress forms directly with Clioβ€”the industry-standard legal practice management platform. Designed specifically for law firms and legal intake specialists, this integration automatically transforms client consultation inquiries into structured Person or Company contacts within Clio Manage, or captures prospects as Inbox Leads inside Clio Grow, with zero middleware fees and complete client confidentiality.

System Requirements & Prerequisites

  • WordPress: Version 5.8 or higher
  • Gravity Forms: Version 2.5 or higher (Basic, Pro, or Elite)
  • PHP: Version 7.4, 8.0, 8.1, 8.2, or 8.3
  • Clio Account: Active subscription with Clio Manage (OAuth 2.0 access) or Clio Grow (Inbox Lead Token)
  • Add-on License: Active GravityExtra Clio Integration license key for automatic updates

Connecting Gravity Forms to Clio via OAuth 2.0

The integration utilizes enterprise-grade OAuth 2.0 to establish a secure handshake with Clio. This guarantees that your firm’s sensitive login credentials are never stored on your WordPress server. Follow these steps to authorize the connection:

  1. From your WordPress dashboard, navigate to Forms → Settings.
  2. Click on the Clio Add-On tab in the settings sidebar navigation.

3. In the Clio API Settings panel, you will see the initial connection status marked as Not connected. Click the blue Authorize with Clio button to initiate the authorization flow.

4. A secure Clio login window will appear requesting permission for the add-on to interact with your Clio account (including Contacts, Custom Fields, and Webhooks). Review the permission scopes and click ALLOW ACCESS.

5. Upon granting access, you will be redirected back to your WordPress admin panel. The status will update to Clio is already authorized. Click Save Settings to finalize the connection.

Multi-Region Data Centers (US, Canada, EU/UK)

If your law firm operates on Clio’s European Union (app.clio.eu) or Canadian (ca.clio.com) instances, select your corresponding geographic region before clicking authorize. The addon directs all API requests to your local region to satisfy strict data residency requirements.

Creating and Configuring Form Feeds

Once authenticated, you configure individual forms to dispatch client intake data to Clio by creating form feeds. Each form can support multiple independent feeds (for example, creating a contact in Clio Manage while simultaneously logging an inbox lead in Clio Grow).

  1. Open your target legal intake or contact form in the Gravity Forms editor.
  2. Navigate to Settings → Clio in the form header.
  3. Click Add New to create a new synchronization feed.

Contact Type & Standard Field Mapping

In the feed configuration screen, provide a descriptive Feed Name (e.g. Personal Injury Intake Feed) and choose your target Contact Type:

  • Person: Select this for individual clients. You will map First Name, Last Name, Email, and Phone Number.
  • Company: Select this for corporate clients, commercial matters, or entity representation. You will map Company Name and primary representative details.

You can also designate the Email Type (Work, Home, or Other) to properly classify contact channels within Clio’s client profile.

Dynamic Custom Field Mapping

The add-on automatically queries your Clio account schema and populates all active custom fields. In the Map Custom Fields section, click the plus (+) icon to add custom field rows. Select your Clio custom field on the left and choose the matching Gravity Forms field on the right.

Comprehensive Field Mapping Reference

The table below illustrates how standard and custom Gravity Forms field types translate to Clio Manage contact attributes:

Gravity Forms Field Clio Property Data Type Processing Notes
Name (First & Last) first_name / last_name String Used when Contact Type is set to Person
Single Line Text company_name String Used when Contact Type is set to Company
Email Field email_addresses Array Categorized as Work, Home, or Other per feed settings
Phone Field phone_numbers Array Supports international notation with E.164 standardization
Address Field addresses Object Street, city, state/province, postal code, and country
Custom Inputs / Dropdowns custom_field_values Array / Key-Value Mapped to Clio custom fields by unique custom field ID

Verifying Submissions in Gravity Forms Entry Notes

Every time a form entry is submitted, the add-on records an automated audit trail directly inside the Gravity Forms Entry Notes panel. This allows firm administrators to confirm delivery without logging into Clio.

If an API error occurs (such as an expired token or validation mismatch in a Clio custom field), a descriptive red error note is generated with Clio’s exact error code, enabling rapid troubleshooting without data loss.

Conditional Logic & Legal Intake Routing

Law firms frequently handle varied practice areas from a single general inquiry form. By enabling Conditional Logic on your Clio feeds, you can create intelligent routing pipelines:

  • Practice Area Segmentation: Route submissions where Legal Service Requested equals “Estate Planning” to one feed, and “Personal Injury” to another, automatically applying appropriate Clio custom fields and matter templates.
  • Prospect vs Client Distinction: Route existing clients to Clio Manage with active contact updates, while sending general prospective inquiries to Clio Grow as Inbox Leads.
  • Conflict Screening Gate: Conditionally hold contact creation until the prospective client confirms they are not an adverse party in ongoing litigation.

Developer Filter & Hook Reference

Developers can programmatically filter payload parameters before dispatching requests to Clio’s REST API using standard WordPress filters:

functions.php
PHP

// Hook into Gravity Forms after submission to perform custom Clio actions
add_action( 'gform_entry_post_save', function( $entry, $form ) {
    // Custom post-processing logic for legal intakes
    if ( $form['id'] == 12 ) {
        error_log( 'Legal intake entry #' . $entry['id'] . ' queued for Clio sync.' );
    }
}, 10, 2 );

Frequently Asked Questions & Troubleshooting

What happens if my Clio OAuth authorization expires or an administrator changes credentials?

The add-on automatically refreshes OAuth access tokens in the background. If a primary Clio account password changes or third-party permissions are revoked within Clio Manage, navigate to Forms → Settings → Clio Add-On, click Disconnect, and click Authorize with Clio to re-authenticate.

Why are recently created Clio Custom Fields not visible in the mapping dropdown?

To optimize page load performance, Clio custom field schemas are cached in WordPress transients. If you add a new custom field inside Clio Manage, open your form feed and re-save the feed settings to immediately purge the cache and retrieve updated custom fields from Clio.

Can I create both a Contact and a Matter in a single submission?

Yes. By creating multiple feeds on the same form, you can configure Feed 1 to create the client contact profile, and Feed 2 to associate the consultation details and practice area attributes with an active matter.

Does the addon support Clio Grow lead sources and referring URLs?

Yes. In version 1.0.6+, referring URL mapping in Clio Grow feeds is fully supported and optional. You can map marketing campaign parameters (such as Google Ads UTM parameters or referring URLs) directly to Clio Grow’s Lead Source properties.
